1. Who We Are

Wardle Anderson Brass Band ("WABB", "we", "us") operates the Bandroom intranet platform ("Bandroom") at bandroom.wabb.co.uk. Bandroom is a private, members-only platform for band communication, document sharing, and group coordination.

For data protection purposes, WABB is the Data Controller. Any queries regarding this policy should be directed to the Band Secretary.


2. What Data We Collect

When you register and use Bandroom, we may collect and store the following personal data:

  • Your name and username
  • Your email address
  • Your instrument and section
  • Content you post (discussions, news, documents, events)
  • Comments you make on posts
  • Group membership information
  • Date and time of account activity

We do not collect payment information, location data, or browsing data beyond what is necessary to operate the platform.


3. Special Category Data – Under-18 Members

WABB takes the protection of young members very seriously. Where a member is under the age of 18:

  • Their contact details are not visible to other members
  • Their profile information is restricted to band officials only
  • Parental or guardian consent is required before an account is created
  • We comply fully with the UK GDPR requirements for processing children's data

Parents or guardians may request to view, amend, or delete their child's data at any time by contacting the Band Secretary.


4. How We Use Your Data

We use your personal data for the following purposes:

  • To provide you with access to the Bandroom platform
  • To enable communication between band members
  • To share band-related documents, news, and events
  • To manage group memberships and roles
  • To maintain the security and integrity of the platform

We do not sell, share, or transfer your data to third parties for commercial purposes.


5. Who Can See Your Data

  • Your name and username are visible to all logged-in members
  • Your email address is visible to Band Officials and Site Managers only
  • Your contact details are visible to Band Officials and Site Managers only
  • Content you post is visible to members of the relevant group
  • Under-18 profiles are restricted to band officials only

6. Data Storage and Security

Your data is stored securely on servers located within the European Economic Area (EEA). We take appropriate technical and organisational measures to protect your data against unauthorised access, loss, or disclosure.

Access to Bandroom is restricted to registered members only. All connections to the platform are encrypted using HTTPS.


7. How Long We Keep Your Data

We retain your personal data for as long as you remain a member of WABB or as required by law. When you leave the band, your account will be deactivated and your data will be deleted within 30 days, unless you request earlier deletion.


8. Your Rights

Under the UK GDPR, you have the following rights:

  • Right of access – You can request a copy of the data we hold about you
  • Right to rectification – You can ask us to correct inaccurate data
  • Right to erasure – You can ask us to delete your data
  • Right to restrict processing – You can ask us to limit how we use your data
  • Right to data portability – You can ask for your data in a portable format
  • Right to object – You can object to us processing your data

To exercise any of these rights, please contact the Band Secretary. We will respond within 30 days.

If you are unhappy with how we handle your data, you have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.

Bandroom uses essential cookies only:

  • Session cookies – to keep you logged in during your visit
  • Security cookies – to protect against cross-site request forgery

We do not use advertising, tracking, or analytics cookies. No cookie consent banner is required as we only use strictly necessary cookies.


10. Changes to This Policy

We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated date. Continued use of Bandroom following any changes constitutes acceptance of the updated policy.
